Terms & Conditions: Scheduled Journeys

The following terms and conditions apply if you are joining one of our regularly scheduled trips listed in our catalog or on our website. We have a handful of tours that are outside our standard terms and conditions. These generally include limited edition, some year-end trips, and private journeys. You can always check with our team on the terms and conditions specific to your tour and departure date any time, and your terms and conditions will always be presented at the time you make your reservation.

Deposit Payments

A Deposit Payment (‘Deposit’) of $500 per person per tour is required to confirm a reservation. This may be paid with a Visa, MasterCard, American Express or personal check. Please note that if you are also joining us on one of our extensions to a tour, there is an additional Deposit of $500 per person for the extension.

Confirmation Package

As soon as we receive your reservation and Deposit, we will send you detailed information on what to bring, how to prepare for your tour, a daily itinerary, trip cancellation insurance application, pre- and post-tour hotel information and Classic Journeys’ policies (the ‘Confirmation Package’).

Balance Payments

The balance of the tour price (the ‘Balance’) is due 90 days prior to the departure date of the tour on which you are reserved (the ‘Due Date’). The Balance is payable by check or credit card. If you pay your Deposit by credit card, you authorize us to charge your Balance to the same credit card and we will charge your card for the Balance on the Due Date, unless you instruct us otherwise in writing by email at least one business day prior to the Due Date. If the Balance is not paid by the Due Date, Classic Journeys reserves the right to regard the reservation as canceled.

Cancellations and Refunds

To cancel your reservation for a tour and/or its extension, please send us an email notifying us of the cancellation. For an abundance of clarity and to avoid any miscommunication, we will not consider a reservation cancelled until we receive an email from you. Based on the date you notify us by email of the cancellation, we will refund your Deposit and/or Balance, less the following fees per tour and/or extension:

If unforeseen circumstances require a change to the tour itinerary, Classic Journeys will make every effort to select alternative hotels of the same standard and to keep modifications of the itinerary to a minimum. Classic Journeys reserves the right to cancel or postpone a tour for any reason.

If a tour is canceled by Classic Journeys, you will receive a refund of all payments received, which will constitute a full settlement. If Classic Journeys modifies travel dates or the tour itinerary due to circumstances beyond its control that results in your inability to travel on the modified travel dates, you will be issued a credit to use toward an alternate tour of your choice with Classic Journeys (a ‘Future Tour Credit’). Based on space availability for the tour to which you want to use your Future Tour Credit, we will send you a new Confirmation Package for that tour. If the alternate tour you choose exceeds the value of the Future Tour Credit, the difference in price will be charged to your credit card on the Due Date unless you make alternate payment arrangements with us prior to the Due Date. Once you are confirmed on the tour to which you are using the Future Tour Credit, you’ll be subject to the Terms and Conditions for that tour and departure date.

Transferring from One Tour to Another

If you want to move to another departure date of your tour or even opt for another tour region altogether, you can move 100% of your Deposit any time right up until the day before your Balance is due. For an abundance of clarity and to avoid any miscommunication, please notify us in writing by email at least one day prior to the Due Date for the tour on which you are currently reserved. Based on space availability for the tour to which you want to transfer, we will send you a new Confirmation Package for that tour. Once you are confirmed on the tour to which you have requested to transfer, you’ll be subject to new Terms and Conditions that will be sent in your Transfer Addendum.

Arrival and Departure

Each trip begins and ends in a town accessible by plane, train, boat, or bus. Meeting and ending locations are listed on each of the individual trip pages in the catalog, as well as in your pre-departure information. For some tours, it may be preferable to arrive at the starting point the night prior to the trip departure date. We will be happy to provide you with instructions on how to phone or email the hotels yourself, or to make these reservations for you. If you elect to have Classic Journeys make these reservations for you, the hotels require that we provide them with a credit card number to hold these reservations or, in rare occasions, to send them a check in advance of arrival. We will advise you of specific hotel payment policies.

Accommodations

Trip prices are based on two people per room. If you are traveling alone, we will assign you a roommate of the same gender, or you can choose to room alone, paying the single supplement. There are a limited number of single rooms available on all trips. If you choose to be paired with a roommate and we are unable to pair you, we will invoice you for the single supplement 60 days prior to the trip. If we are subsequently able to find you a roommate, we will gladly refund the single supplement.

Travel Protection

United States Tour Operators Association $1 Million Travelers Assistance Program 

Classic Journeys, as an Active Member of USTOA, is required to post $1 Million with USTOA to be used to reimburse, in accordance with the terms and conditions of the USTOA $1 Million Travelers Assistance Program, the advance payments of Classic Journeys customers in the unlikely event of Classic Journeys bankruptcy, insolvency or cessation of business. Further, you should understand that the $1 Million posted by Classic Journeys may be sufficient to provide only a partial recovery of the advance payments received by Classic Journeys. More details of the USTOA Travelers Assistance Program may be obtained by writing to USTOA at 345 Seventh Avenue, Suite 1801, New York, New York 10001, or by email to information@ustoa.com or by visiting their website at www.USTOA.com.

Protect Your Investment

In today’s changing travel environment, it’s important to help protect your travel investment so you can relax and enjoy your trip. Unforeseen events such as flight delays, baggage loss or even a sudden sickness or injury could impact your travel plans. We strongly recommend that you purchase a travel protection plan that includes trip cancellation coverage to help protect you and your travel investment against the unexpected.

Please note: You can purchase most travel insurance plans at any time, however there are additional benefits and options if you purchase your insurance within 15 days of your trip deposit.

  • Experienced guides
  • Support vehicles
  • All transportation during the trip, whether by bus, boat, train, plane, cable car or funicular (unless otherwise noted)

Trip Price Does Not Include

  • Air and land transportation to and from the trip
  • Beverages
  • Personal Expenses
  • Non-scheduled visits and activities

Children's Rates

All minors must be accompanied by an adult. On our Classic Journeys scheduled departures, kids get a break even before you leave home.

Responsibility and Release

You are responsible for choosing a trip that fits your abilities, level of fitness and health. If you need any assistance in selecting the right trip for you, please contact a Classic Journeys Guest Services Coordinator at 1-800-200-3887. You are also responsible for reading the pre-trip information material and bringing with you all of the appropriate clothing and equipment, as well as acting in accordance with the customs and laws of the regions visited. Classic Journeys reserves the right to accept, remove, retain or decline any trip member at any time for any reason. In such case, a refund equal to the actual cost of the unused services is the limit of Classic Journeys’ responsibility.

Payment of your deposit represents your acceptance of these Term and Conditions, as well as all general information listed in the catalog, online at www.ClassicJourneys.com and subsequent trip departure material which are all incorporated herein by reference. Classic Journeys, LLC, its members, employees, and agents, hereby give notice to you that all services and arrangements related to your tour have been made by Classic Journeys, LLC only as agents upon the express condition that Classic Journeys, LLC shall not be liable and does not assume responsibility for any claims, damages, expenses or other financial loss whether to person or property arising out of any injury, accident, death, cancellation, inconvenience, delay, alteration, or required modification to tour dates or tour itineraries resulting from any act, omission, or inadvertence of any hotel, carrier, restaurant, government, or any other person or entity, or that which is caused by weather, sickness, pandemics, strikes, quarantines, or the willful or negligent acts of any other tour members or any other cause whatsoever that is beyond the control of Classic Journeys, LLC.

Some days or activities and certain trips are operated by local tour operators contracted with Classic Journeys, LLC. These operators have been selected for the quality of the services and tours they offer as well as the desirability of the destinations.

You agree to allow Classic Journeys, LLC to take photographic or film records of any of our trips and trip participants, including you, and you hereby authorize and license to Classic Journeys, LLC on a worldwide royalty-free basis the right to use any photos that include image or likeness for promotional and/or commercial purpose, in perpetuity.

*River cruising and certain tours have slightly modified terms and conditions.

Terms and Conditions: Private Journeys

Confirmation Package

As soon as we receive your reservation and deposit, we will send you detailed information on what to bring, how to prepare for your trip, travel directions, detailed itinerary, trip cancellation insurance application, pre- and post-tour hotel information and Classic Journey’ policies.

Deposit Payments

A non-refundable deposit of $1000 per person is required to reserve a private and/or custom tour.

Balance Payments

The balance of the trip price is due 120 days prior to departure, payable by check or credit card. If you pay your deposit by credit card, we will assume that you would like your balance also paid by credit card and we will charge your card for the balance due 120 days prior to departure, unless you instruct us otherwise in writing. If the balance is not paid when due, Classic Journeys reserves the right to regard the reservation as canceled.

Cancellations and Refunds

If you must cancel your reservation:

Classic Journeys reserves the right to cancel a trip for any reason. In such an instance, we will refund all payments received, which will constitute full settlement.
